- Assistant Director of Curtis on Tour
Description
Reporting to the Vice President, Touring and Artist Management (VPTAM), the Assistant Director of Curtis on Tour is responsible for managing artist coordination, communication, and preparation; tour advancing and logistics; and post-tour reporting for Curtis on Tour, Curtis’ global touring initiative. The position will travel on assigned tours to serve as the on-site Curtis representative, liaise with presenters and other constituents, and coordinate on-tour logistics. The position will also be responsible for advancing performance engagements for students and recent alumni that are booked and managed by the TAM department to ensure professional-level preparation and servicing. The ideal individual will have excellent communication and relationship development skills; will be comfortable representing Curtis in a professional manner to external constituents; will have the ability to exercise good judgment in a variety of situations and problem-solve under pressure; will be highly organized and detail-oriented; and will have the ability to simultaneously manage multiple priorities and projects. The ideal candidate will have schedule flexibility to work additional hours, be on-call, and travel on tour, as required.

Education/Experience:
- Excellent administrative writing skills, communication skills, and attention to detail.
- Self-motivated and proactive worker with the ability to manage multiple project timelines and priorities.
- Experience with travel logistics and tour or concert production.
- 5+ years experience driving passenger vehicles, including vans and large SUVs, with proficient knowledge of traffic laws, safe driving practices, and defensive driving skills; possess and maintain a valid driver’s license and clean driving record; comfort driving groups for long distances in various terrains, locations, and types of streets and highways.
- Possesses schedule flexibility to work additional hours and travel as required.
- Mature interpersonal skills and ability to handle sensitive, confidential situations and information with poise, tact, and diplomacy.
- Knowledge of and comfort working with a variety of computer software applications in word processing, spreadsheets, presentation software, and databases (e.g., Microsoft Word, Excel, PowerPoint, and concert management systems/databases).
- Knowledge of classical music.
- A minimum of an associate’s degree in music management, marketing, or business.
- Foreign language competency is a plus.

Requirements
Key Areas of Responsibility:
Artistic Planning, Production, & Preparation
- Assist VPTAM with artistic planning for tours and special projects.
- Manage artist communications and coordination for Curtis on Tour and Emerging Artist Professional Engagements; work with participating students to include them in the planning process and educate students about the touring and artist management business.
- Serve as the project manager for special presenter collaborations and for large-scale tours (e.g. Curtis Symphony Orchestra tours).
- Administer travel and logistics for Curtis on Tour and Emerging Artist Professional Engagements, including but not limited to booking flights, ground transportation, and hotel accommodations; facilitating the processing of required artist visas; and coordinating with presenters regarding production requirements and logistical details.
- Keep up-to-date in Overture planning software details related to engagements being advanced; generate itineraries; share relevant information about tours and engagements in a timely manner with artists, presenters, and colleagues, as required.
- Plan and schedule pre-tour meetings, rehearsals, and coachings; coordinate with artists and the Scheduling and Logistics Management office regarding scheduling.
- Coordinate Curtis on Tour community engagement and residency activities in close consultation with Curtis’ Center for Leadership, Partnership, and Innovation; work with the Scheduling and Logistics Management office to schedule preparatory coachings, as required.
- Work closely with VPTAM and Curtis’ Admissions office to plan on-tour engagement with prospective students and report on interactions with prospective students.
- Schedule media interviews as requested by presenters and media outlets, in coordination with the Communications department.
- Accompany musicians on assigned tours and engagements to serve as the on-site Curtis representative, manage travel and logistics, facilitate artist needs, liaise with presenters and other constituents, and administer all on-tour duties as needed.
- Provide on-call support during tours and engagements to handle any unforeseen issues.
Promotion
- Work closely with the Marketing and Communications departments to maintain current, accurate, and relevant content about the Curtis on Tour initiative and related performances on Curtis.edu and other channels and in press releases.
- Coordinate the planning, collection, and distribution of marketing materials for engagements being advanced, including artist biographies, photography, and video content.
- Work with the Curtis media team and Communications department to schedule and coordinate promotional video and photography shoots to promote tours. Deliver promotional assets to presenters.
- Generate program copy documents with repertoire details and artist and school biographies for all engagements being advanced; distribute to presenters and provide approval of presenters’ materials before programs are printed.
- Work with presenters to ensure accurate information, current materials, and proper artist billing is included on their websites and other promotional channels.
General and Administrative
- Be an ambassador for the Curtis Institute of Music when interacting with presenters, audiences, and other constituents in person and when communicating by phone, email, or other means.
- Regularly share information about upcoming tours and engagements with Curtis colleagues; coordinate with Student Services to ensure required work authorization is obtained when required.
- Prepare engagement contracts and riders for Curtis on Tour and Emerging Artist Professional Engagements; manage the sending, receiving, and tracking of those contracts.
- Manage and track outgoing and incoming payments and fees for Curtis on Tour and Professional Engagements for Emerging Artists, including fees and reimbursements, to ensure timely receipt and processing. Work closely with the Business Office to confirm proper account coding, submit payment requests, and coordinate other finance-related expenses.
- Work closely with VPTAM to accurately budget for and track the Curtis on Tour budget.
- Manage post-tour reporting and surveys and track statistical data related to participation and audience reach. Provide data to Curtis colleagues as required for reporting purposes.
- Provide general administrative support for VPTAM; maintain regular office hours and administer essential daily functions including the processing of mail, telephone, email communications.
- Supervise and assign projects to student workers; submit approved hours for payroll processing.
- Perform other duties as assigned.
Compensation and Benefits
- Gross annual salary for this position is $70,000 – 75,000, commensurate with experience.
